Kind Mail is built to move kindness around, not data. Here’s exactly what we keep and why — in plain words.

Your account

You sign in with an email magic link. We store the email you sign in with, your first name, and the short introduction we write with you when you join. That’s the whole profile — no last name, no address.

Your letters

When you write a sunshine letter, an automated screen gives it a quick kindness-and-safety check — it also holds anything that tries to share contact details, because the whole point is that correspondence stays on paper and first-names-only. Cleared letters are printed and mailed to an enrolled senior community by our printing and mailing partner, who receives only the letter and the community’s address. Only first names ever travel on paper.

Replies

When a resident writes back by hand, we scan their reply so we can show it to you — the person who sent the first letter — and no one else. Replies pass the same kindness screen. First names only, both directions; we never share a resident’s full name, room, or address, or yours.

The reply examples in our marketing are illustrative and written by us. We never publish a real resident’s letter, handwriting, or name — replies exist only between the two people writing them.

Payments

Membership is billed through Stripe. We never see or store your card number — Stripe handles that, and we only keep the record that your membership is active. Cancel any time and billing stops at the end of the period you’ve paid for.

Analytics

We measure how Kind Mail is used — which screens and pages get visited, and which link brought someone here — so we can make it better. We use PostHog for usage analytics and AppsFlyer to understand where installs come from. Neither is used to track you across other companies’ apps or sites, and the app never asks iOS for tracking permission because it doesn’t track. What you type stays masked in any session recordings.

What we don’t do

No ads. No selling your data. No data brokers. Ever.

Deleting your account

Email hello@kindtrace.appand we’ll remove your account, profile, letters, and the replies tied to them.
